Vaimo, a leading full-service digital experience agency, acquired Nobi.digital, a Brussels-based agency specializing in data-driven marketing. Despite both companies thriving in the digital space, their different email systems posed significant communication challenges. Vaimo used Google Workspace, while Nobi.digital relied on Microsoft, making collaboration difficult.
This case study highlights how Revolgy successfully migrated Nobi.digital to Google Workspace, creating a unified and collaborative work environment for the merged companies.
Migrating to an existing Google Workspace environment
Maintaining separate email systems presented significant roadblocks for Vaimo and Nobi. Moving Nobi to Vaimo’s Google Workspace was the obvious solution to make communication smoother and teamwork easier.
Revolgy was tasked with migrating 23 users and 7 groups/shared inboxes from Microsoft 365 to the existing Google Workspace tenant within Vaimo. The goal was to ensure all key tech and security functions were running smoothly according to Google Workspace’s best practices.
Vaimo chose to migrate only contacts, emails, and calendars, leaving out files typically stored on Microsoft’s OneDrive and SharePoint. This selective migration required careful planning to ensure a smooth transition.
The migration was done in phases to minimize disruption. The Revolgy team began with a pre-migration phase lasting several weeks. Then, after a brief pause requested by Vaimo due to a parallel project, we completed the final migration over a weekend, making sure every user was set up for work on Monday morning.
“Switching to Google Workspace made things easier for everyone, including our new team from Nobi. It improved our communication and teamwork. Revolgy handled the migration seamlessly and made the process easy for us.”
— Maria Nawrocik, Internal IT Team Lead at Vaimo
Google Workspace simplifies collaboration for Vaimo
After the acquisition, migrating Nobi to Google Workspace became the best option for Vaimo. Running two separate environments would cause both short- and long-term problems. Emails and calendars carry a higher risk of sync issues, making communication difficult. Sharing files and coordinating projects becomes difficult. The IT department has to manage two systems, which is complex. Employees have a disrupted workflow, and security is harder to maintain.
“Despite the delay in the project, I believe the migration was to everyone’s satisfaction. Google has one big advantage over Microsoft: it was born in the cloud. This makes it easier to manage from a single admin console, which is a huge benefit for Vaimo’s team.”
— Jan Z., Google Workspace Deployment Specialist at Revolgy
Google Workspace’s cloud-native infrastructure offers significant advantages over Microsoft 365. Google’s unified admin console simplifies management, making it easier for administrators to oversee users and devices from a single interface. In contrast, Microsoft’s multiple admin consoles can be more complex to navigate. Switching to one platform like Google Workspace solves these issues, creating a smooth and efficient work environment.
Conclusion
Revolgy’s expertise and strategic approach ensured a smooth migration for Vaimo and Nobi.digital. By moving 23 users and 7 groups from Microsoft 365 to Google Workspace, we created a unified and efficient digital environment for the client. The phased migration and weekend go-live ensured minimal disruption. Now, Vaimo and Nobi.digital enjoy better communication and productivity across the entire business.
